https://todoist.com/features has many of the features I've been wanting to build into the @dwyl app ...

if they had time tracking, repeatable checklists, invoicing/payment collection, advanced personal/team analytics and were Open Source, I would use their app and not need to build my own.

Thomas Frank has recommended Todoist to his 1M+ followers/subs on several occasions:

In several cases we are going to use Todoist as the "UX" validation for the "Complete" portion of our App/Workflow. i.e. we may "borrow" entire features from them. Thankfully there are enough Todo List apps out there that the features are by no means "unique" so there is no "IP" claim.

Our "Product Manager" whoever that ends up being, needs to know Todoist inside out.

I have been using Todoist for about a month and a half now (I started using it in November 2019 but as we were out of the country for 2 weeks I didn't get it set up well and wasn't using it then). I haven't tested any team functionality.

I have used the desktop app and the iOS app. I briefly used the web app but moved quickly to desktop as a personal preference.

Here are my personal pros and cons:

Pros

  • Clean, simple interface
  • A lot of keyboard shortcuts, so as a desktop user, I didn't have to take my fingers off the keyboard to add new tasks
    • !!1 for high priority or !!2 for medium
    • #project-name for assigning to project
    • Natural language processing (NLP) for dates and scheduling of tasks which works particularly well
  • Project functionality (including sub-projects)
  • Strong scheduling functionality
    • Todoist lacks calendar functionality but you can schedule for specific times as well as dates
    • Smart scheduling suggests a date in the near future where you don't already have a lot on
  • Repeatable tasks - you can set up a task to repeat daily, weekly or monthly through NLP (I don't know of any other way to set this up)
  • Customisable start screen so you can set up a query to customise what you
  • Quick syncing between platforms & supported on many different devices
  • Easy sub-task adding
  • I enjoyed the comments feature for adding links to relevant things but this was a premium feature so I didn't get to use it much (free trial)

Cons

  • Adding tags is a premium feature
    • This means that if you want to add more context than the overall project to a task, then you need to be a premium user. I would normally use this to let me know at a glance what size of task it is (15 mins, 1 pomodoro, 1hour, etc) or context (deep work, out-of-the-office, etc)
  • No timers or way to show that there is a specific issue you are making progress on but there IS a toggle integration:

  • If you don't get tasks done that you had in your (somewhat hopeful) list for a specific day, there is a huge list of 'overdue' tasks that starts to pile up at the top of your 'Today' list the next day
    • Whereas I see the appeal here - you want to make sure tasks that were scheduled for a specific day are ticked off - this does create a sense of overwhelm. Maybe the solution here would be to show you only those tasks that were overdue that had a priority label and then hide the others because a 'X many overdue tasks for quick rescheduling' line
  • Along the same lines, if you brain dump into the inbox, it's very easy to get overwhelmed when you go back in to try to review tasks and figure out which decisions need to be made - this is also a common complaint in forums and the answer is always 'well, your system should be better'. We can solve this problem
  • Very much an app for 'to-dos' as individual tasks rather than overarching goals - you very much have to make up your own system if you're going to use it for goals
  • There is no calendar view so you can't also see your appointments for the day alongside the to-dos
  • Completed tasks disappear from view completely and seeing them again is a premium feature 😆

The whole homepage is focussed on two things - Todoist's ability to give you mental clarity and the idea that you can trust the software.

There is a graphical reference to the fact that you can use it across all platforms but that's it.

  • Free account for a lot of the basic functionality
  • $3 / €3 per month for premium
